Overview

This position is responsible for managing the Lease Administration function for WORLDPAC’s portfolio of distribution centers and branches. This will include the managing and tracking of all lease documents, the timely payment of rents and other property expenses, the review and reconciliation of operating (CAM) expenses, the drafting and processing of renewal notices, SNDA’s, and estoppels, and the development and maintenance of detailed reports tracking and analyzing the portfolio.

Responsibilities

  • Utilize the company’s lease management system to manage all lease documents and track critical deadlines.
  • Perform lease abstraction and storage of all leases and amendments, ensuring integrity of all data input into the company’s system.
  • Prepare monthly rent roll, partnering with accounting to ensure timely payment of rent and operating expenses to landlords.
  • Review, audit, and reconcile opex (CAM) statements, collaborating with landlords/property managers as needed to ensure a fair and accurate resolution.
  • Work with the Legal Department to draft, submit and compare renewal letters, commencement agreements, default notices, leases, SNDA’s, estoppels amendments, and other landlord/property manager correspondence.
  • Develop and manage lease tracking and other integral reports, providing updates and insights to senior management as needed.
  • Field and process various requests such as insurance certificates, landlord/ownership changes and compliance requests.
  • Serve as the single point of contact for all landlord/property manager correspondence, distributing and escalating the correspondence to others where applicable.
  • Perform Notary requirements for the organization.
  • Manage all electronic signature and execution systems such as DocuSign.

Qualifications

Essential Job Skills

  • Highly developed organizational skills with a particularly strong attention to detail and the aptitude to deal with both substantial amounts of data as well as detailed lease documents.
  • A high level of technical savvy and sophistication, including the ability to navigate company systems, along with a high level of skill in generating, organizing, and interpreting detailed reports.
  • Comfortable interacting with a wide variety of internal and external stakeholders, including facilities management and company executives, landlords, property managers, contractors, municipalities, attorneys, and brokers.
  • Exceptional problem solver, with the ability to prioritize and complete multiple tasks.
  • Ability to work well under pressure in a demanding environment, both independently and with teams.

 

Requirements

  • 5+ years of experience in lease administration with a 100+ unit retailer or restaurant (or similar multi-unit company).
  • Demonstrated experience working with a Lease Management System, preferably Lucernex.
  • High skillin the use of lease management software and Microsoft Office Suite, most notably Word, Outlook, and Teams, and with particular skill at using Excel.

 

Ideal Candidates

  • 5+ years of supervisory experience in lease administration with a 300+ unit national retailer or restaurant (or similar multi-unit company).
  • Direct responsibility preparing and approving rent rolls and Opex (CAM) statements.
  • Enhanced experience managing Lucernex or other Lease Management System.
  • Demonstrated experience developing excel reports.
  • Bachelor’s degree; experience in Legal and/or accounting a plus.

 

Education

  • Bachelor’s degree preferred.

 

Certificates, Licenses

  • Illinois Notary Public

Pay Range

USD $71,000.00 - USD $80,000.00 /Yr.
